Job Description:

Job Summary* Maintains the company's financial records.* Compiles and maintains business transactions, accounts payable and accounts receivable records.* Performs varied secretarial and administrative duties* Maintains employee records.* Performs tasks related to payroll processing and documentation.General Accountabilities* Classifies, records, and summarizes numerical and financial data to compile and keep financial records, using QuickBooks accounting software checking figures, postings, and documents for correct entry, mathematical accuracy, and proper general ledger accounts.* Assists accountants with monthly financial reports* Receives and reviews all bills and posts to accounts payable.* Maintains all accounts payable files, answers vendor inquiries and presents accounts payable reports for approval.* Pays bills issuing checks, ACH transactions and online payments.* Receives checks, records the payments and deposits at bank* Processes customer credit card payment transactions and deposits.* Processes payment and receipt ACH transactions on the bank website.* Reconciles bank accounts and credit card statements.* Invoices customers sales orders and sends to customer or processes payment by credit card.* Processes credit memos for returns and notifies appropriate personnel.* Monitors accounts receivables. Sends monthly statements and calls on past due accounts.* Scans and saves digital files of most documents for historical keeping.* Operates office machines such as copy/scan/fax machine.* Purchases office and operating supplies as needed.* Assists with documentation concerning new hire, absences, terminations, and maintains all employee records and files.* Prepares bi-weekly payroll and submits on ADP website.* Maintains employee benefits information and ensures accuracy of benefits changes.* Prepares international shipping documents.* Ensures confidentiality and controls access to sensitive information.* Assists with business correspondences, reports and related materials.* Assists as receptionist with telephone calls and greeting visitors.* *The company reserves the right to add or change duties at any time.Skills* Administration-- Accuracy and attention to detail* Bookkeeping knowledge* Math and reasoning-- Critical thinking* Ethical practice* General office and clerical
