Kelley Automotive Group Fixed Operations Director Job Location Accounting Building - Fort Wayne, IN Description Kelley Automotive Group (KAG) is searching for a Fixed Operations Director (FOD) to lead the service and parts departments of its nine dealerships located in Northeastern Indiana and headquartered in Fort Wayne. The FOD will focus on maximizing customer satisfaction, employee satisfaction, and financial performance. KAG believes success starts with having a friendly, hardworking, and competent team dedicated to providing the highest level of service expected from a dealership. Therefore, a large part of the role will be dedicated to recruiting, training, and developing all team members. FOD will also focus on financial performance along with the highly correlated processes and controls that contribute to efficiency, consistency, and profitability. Advanced financial and data analysis is key to properly understanding department performance and prioritization of opportunities. The FOD is also responsible for the safety of fixed operations employees and customers and ensuring the departments are compliant with all work place rules and regulations. The FOD must be capable of thinking strategically from a high-level while being willing to lead by example. By working with the current strong team of managers, KAG is looking for a leader to leverage the best qualities of each department, improve economies of scale and build a consistently high performing group of service and parts departments. Functions:

  • Employee management, development, training, and recruiting.
  • Communication of all key or relevant information with owners and executive team.
  • Financial Performance and Financial Analysis (in conjunction with CFO).
  • Compliance with all employee and workplace safety rules and regulations (in conjunction with the Emergency Health and Safety/Facilities Manager). Relationships:
    • Reports to CEO and COO.
    • Supervises the Service and Parts Managers and departments. Responsibilities and Authority: Management:
      • Implement a strategic management program to work hand-in-hand with service/parts managers and departments with efforts to maximize profitability, customer satisfaction, and employee satisfaction.
      • Effectively communicate with owners and executives on department performance, key decisions, and general operations.
      • Work with all KAG leaders to ensure cohesive efforts of improvement and growth are in alignment with the company's goals.
      • Develop and maintain a good working relationship with the manufacturers.
      • Ensure manufacturer requirements are met and maintained for any monetary incentive program.
      • Any other tasks deemed necessary by Management. Personnel Related:
        • Build competent and well-trained team members that work together as a cohesive department dedicated to the success of the company and themselves.
        • Understand and enforce company policies and procedures.
        • Establish and execute procedures for internal training programs, monitor their effectiveness, and ensure that they are understood and followed.
        • Ensure all dealerships achieve highest levels of manufacturer required and suggested training, especially service technicians.
        • Handle department personnel functions, to include: measuring, evaluating performance, recognizing accomplishments, and terminations.
        • Ensure that department managers are training and supervising employees for optimum effectiveness.
        • Complete a formal performance evaluation of each department manager according to company policy.
        • Provide enthusiastic leadership and support to shape employees' attitudes and build morale.
        • Conduct managers' meetings at scheduled intervals.
        • Any other tasks deemed necessary by Management.
        • Closely meet and work with all service technicians to ensure their needs are met while building a pay/work environment that is motivating and supportive of tech success and satisfaction.
        • Innovate processes to help service technician productivity.
        • Develop or modify service technician pay plans for optimum outcome for each service technicians
        • Recruit technicians at all levels and build an infrastructure for them to succeed.
        • Any other tasks deemed necessary by Management. Inventory/Parts Specific
          • Utilize available warehouse space to maximize profitability via maintaining proper inventory levels that support customer needs and manufacturer guidance while considering cash management.
          • Establish and manage stock order policies and procedures.
          • Oversee and implement inventory stocking strategies for:
            • Maximum efficiency of stocking and pulling parts.
            • Safe and easy movement of parts.
            • Perform annual physical and periodic cycle counts of parts inventory to ensure zero or minimal loss of parts.
            • Set and enforce a policy on the special ordering of parts.
            • Utilize lost sales tools for improved inventory management.
            • Any other tasks deemed necessary by Management. Operations and Financial
              • Consistently meet or exceed Customer Satisfaction (CSI) goals.
              • Ensure vehicle repairs and parts management are being conducted based on manufacturer guidance and industry best practices.
              • Affirm with internal review and audits that manufacturer and extended warranty claims are being submitted accurately and collected.
              • Verify warranty claims are inclusive of all eligible reimbursable items for legitimate claim maximization.
              • Develop financial reporting for clear and efficient interpretation of financial data of all aspects of all fixed ops departments.
              • Prioritization of investment in time and money are supported by financial metrics.
              • Review open repair orders for appropriateness.
              • Any other tasks deemed necessary by Management.-- Facilities Duties
                • Ensure facilities meet all OSHA and other workplace safety requirements.
                • Accountable for clean and safe working conditions for employees.
                • Verify proper handling of all hazardous materials and waste including but not limited to oil/fluids, oil water separators, tire storage, etc.
                • Monitor the effectiveness of safety procedures and ensure that they are followed.
                • Work closely with the Emergency Health and Safety/Facilities Manager to ensure the health and safety needs of all KAG employees are met.
                • Any other tasks deemed necessary by Management. Other:
                  • Responsible for all proper record retention and making sure it meets company, manufacturer, and legal requirements.
                  • Develop cost-effective advertising programs and merchandising strategies.
                  • Resolve customer complaints that management has not been able to resolves
                  • Assist with managing workers' compensation claims.
                  • Any other tasks deemed necessary by Management. Qualifications: A minimum of 7 years in the fixed operations departments of the automotive industry and a minimum of 7 years of department level or higher managerial experience required. High School diploma or the equivalent. Bachelor's degree preferred. Able to read and comprehend instructions and information. Professional personal appearance. Must have strong leadership, organizational and financial analysis skills. Strong communication skills are required to work with customers, employees and vendors. NADA /NCM or upper level management--training preferred, but will be provided in most circumstances. Valid driver's license with a good driving record required. The specific policies are set forth in the Kelley Team Member Handbook. Working Conditions: Will move about the dealership, both indoors and outdoors. Will need to leave dealership periodically to attend outside functions.
